The Trucking IFTA Guide


IFTA is the International Fuel Tax Agreement. It was put into place by the contiguous 48 United States and 10 Canadian provinces to simplify the reporting of fuel use of qualifying motor vehicles that operate in more than one jurisdiction.

Before IFTA was put into place each state had their own rules and regulations for fuel use reporting and it was rather complicated and confusing. Now carriers file a quarterly IFTA fuel tax report or IFTA return. The report is used to determine the net tax is refunded due and to redistribute taxes from collecting states to due states.

As a result of filing, you will receive an IFTA license and two IFTA decals for each of their qualifying vehicles. Your vehicle qualifies for IFTA if it is used, designed, and maintained for the transportation of people and property and:
  • Has two axles and a gross vehicle weight of 26,000 pounds or more 
  • Has two axles and a registered gross vehicle weight of 26,000 pounds or more 
  • Has three or more axles regardless of weight and/or 
  • Is used in combination when the combination excessed 26,000 pounds in gross vehicle or registered gross vehicle weight. 
To complete your quarterly IFTA you need to include the following information:
  • Total miles traveled per jurisdiction
  • Total gallons of fuel consumed per jurisdiction 
  • The total tax-paid gallons of fuel purchased per jurisdiction and 
  • The current tax rate per jurisdiction 
You need to file your IFTA return with your base jurisdiction, which is your home state, or the state where your vehicle is registered. Now each state has their own rules and regulations that you need to adhere to.

Mandatory Tax Forms For Your Trucking Employees

Form W-2

You have to file Form W-2 annually with the Social Security Administration and issue copies to each of your employees by the January 31st deadline. Form W-2 is used to report the amount of income, social security, and Medicare tax withheld from all compensations and income offered to your employees.

You are only required to file Form W-2 for employees who you have paid $600 or more to in wages during the tax period. It’s important to issue your employees their W-2 Form copy by the deadline because they need it to file their personal income tax returns.

Form 1099-MISC

Form 1099-MISC is used to report miscellaneous income such as payments made to an independent contractor. An independent contractor is classified as someone who performs services for a business who isn’t treated as it’s employee. 

You must file Form 1099-MISC for your independent contractors or subcontractors if you paid them $600 more during the tax year. Also, you must provide them with a copy of Form 1099-MISC by the January 31st deadline so they can use it to file their personal income tax returns.

Not all ELDs are created equal, but some record more data than others. For example, some ELDs record your trips beginning and ending locations, the total distance traveled, and the distance traveled per jurisdiction.

The 4th Quarter IFTA Deadline Is This Month

Happy new year trucking industry! We hope 2018 is the year you take your business to new heights. 2017 was definitely a historic year for truckers with the ELD mandate going into effect! Who knows what we can expect in 2018?

Well, there is one thing that should actually be on your radar right now and that’s truck taxes! The 4th quarter IFTA deadline on January 31, is actually almost here so don’t let it sneak up on you. Check out all of these important IFTA facts you should know!

The 4th Quarter IFTA Deadline Is This Month


Start 2018 on a positive note by staying on top of all your taxes. If you need a little refreshing IFTA is the International Fuel Tax Agreement that was put in place among the 48 continental United States and 10 Canadian provinces.

IFTA was created in order to simplify the reporting of fuel used by qualifying motor vehicles that travel between two or more jurisdictions. The calculations in IFTA help figure out how much of the taxes to equally distribute to each jurisdiction.

Your vehicle qualifies for IFTA if:
  • It has two axles and a gross weight exceeding 26,000 pounds 
  • It has two axles and a registered weight exceeding 26,000 pounds 
  • It has 3 more axles regardless of weight 
  • Or it has a combination weight exceeding 26,000 pounds. 
To comply with IFTA you will apply for your IFTA license with your base jurisdiction or home state. You will then keep your IFTA license in your cab at all times. Plus, you will receive two IFTA decals that you will need to display on your driver’s side door. Also, of course, you will need to complete your quarterly IFTA return.

In order to complete your IFTA return you will need to provide the following information:
  • Total miles traveled per jurisdiction, including trip permit miles
  • Total gallons of fuel consumed per jurisdiction 
  • Total tax paid gallons of fuel purchased per jurisdiction 
  • And the current tax rate per jurisdiction. 
If you fail to file your IFTA return you will have penalties to face. For example, failure to file by the deadline will result in a penalty of $50 or 10% of the IFTA tax due, depending on which amount is greater.

You will also face a monthly interest charge of .4167% of the total amount due until it’s paid in full. Plus, your base jurisdiction reserves the right to fine you further and revoke your IFTA license!
