A Trucker's Thanksgiving

Welcome back, Trucking Nation! With Thanksgiving being almost upon us, we here at ExpressIFTA would like to take a moment and thank each and every one of you for your hard work, dedication, and sacrifice, and throw out some ideas to those of you who’ll be on the road this Thanksgiving Day.

Our Thanks to You

First off, and most importantly, we’re so very grateful for all the truckers, trucking companies, and their employees for keeping our country moving. Without you, so many of the goods we usually take for granted wouldn’t be available to us. Construction projects couldn’t be completed without the necessary materials, diesel and gasoline wouldn’t be readily accessible, even food would be hard to come by. You sacrifice so much, s
uch as being away from your families. So from the bottom of our hearts, thank you, Trucking Nation.

One of those big sacrifices may be that you are on the road during Thanksgiving. There’s a huge demand for transport during the holiday season, especially as Black Friday has become so popular in recent years. But that doesn’t mean you have to skip Thanksgiving. There are plenty of ways to celebrate Turkey Day even if it’s just you.

Choices, Choices…..

Many restaurants prepare Thanksgiving meals for those who can’t be home during the holiday as well as for those who prefer to eat out that day. Why not let someone else cook your holiday meal? A nice side benefit: no dirty dishes to clean!

Some trucks stop restaurants even offer free Thanksgiving meals for truckers. Usually all you have to do is show your CDL.

Or let’s say you want to cook your own holiday meal to bring a little bit of home with you on the road, or just because you like to cook. Whatever your reason, the array of appliances available today that run on 12V make it possible to have Thanksgiving right in your rig. You can cook a turkey breast in a slow cooker, cook stuffing and/or vegetables in a portable stove, and save the leftovers in a travel fridge/cooler. You can even have a microwave in your cab to heat up those leftovers later on.

It can be tough being on the road for Thanksgiving. Hopefully one of these ideas will make it a little bit easier for you.

Take Back Your Time with ExpressIFTA

Welcome back, Trucking Nation! We know how crunched for time you are, and that there are a lot of things you’d rather be doing than writing down your mileage and fuel purchase information every day. With ExpressIFTA, you can keep track of these things quickly and without hassle.

Entering your information into ExpressIFTA is easy and straightforward. We’d like to show you how simple it is by walking you through entering your mileage and fuel purchase information into ExpressIFTA.

You’ll need an ExpressIFTA account to try this out. Don’t worry if you don’t have one, you can read about how fast and easy account setup is by clicking here. And it’s always free to sign up and enter your information.

We’ll take you through a few smooth and uncomplicated steps, and you’ll be ready to enter your information in no time!

Getting Started

Once you’ve logged into your account, from the Dashboard, select the “Drivers” tab near the top of the screen. This will take you to the Drivers page. Click the “Save & Continue” button at the bottom right of the screen, and this will take you to the Mileage & Fuel Purchases page.

From here, you have a couple of ways to enter your information. You can either click on the blue “Trip Sheet Entries” button or the green “Quick Entries” button under the Action heading. (You also have the option of uploading your information from GPS or uploading an Excel file or CSV file. We’ll cover those in a later blog.)

Let’s take a closer look at each of these options.

Quick Entries

If you click on “Quick Entries,” it will bring you to the Quick Entries screen. Just follow the directions at the top, and then click “Continue.”

You will end up back at the Mileage & Fuel Purchases screen. Review your information, and then click the “Create IFTA Return” button. That’s it! You’ve entered your mileage and fuel purchases information!

Trip Sheet Entries

If you clicked on “Trip Sheet Entries” instead of “Quick Entries,” you will be taken to the following screen. Click “Add Trip Details” to add any additional information.

After entering additional trip details, click “Save & Continue.” You will end up at the same screen you came to when you were done with Quick Entries. Click “Create IFTA Report” this time as well. Again, you’re done! You’re ready to create your IFTA report!

As you can see, using ExpressIFTA is quick and easy, so much easier than manually entering all this information. And ExpressIFTA keeps track of all your IFTA information, so there’s no looking for lost records, and no trying to keep all those papers organized.

Avoiding an IFTA Audit

Audit. five little letters that can strike fear in the heart of any trucker. We all have our preconceived notions of what an audit consists of. Not having accurate information as to the nature of an audit can contribute to that fear, making for a lot of unnecessary worrying. Let’s have a look at what an IFTA audit really is, and a few ways to increase the odds that your number won’t be called.

As we all know, filing an IFTA report to your base jurisdiction is required every quarter if you drive in more than one state or province during that quarter. An audit simply is the verification of the information provided on that IFTA report, mainly the amount of fuel bought in the quarter, and the mileage logged that quarter.

The big question is who gets audited? The truth of the matter is that all base jurisdictions are required to audit 3% of the IFTA licensees in that jurisdiction each quarter. This is to ensure that all who file IFTA reports are filing accurate and truthful information.

But there are still red flags that can trigger an audit. The auditors in your base jurisdiction are always looking for irregularities in the information reported by IFTA license holders.

So there are definite factors that can trigger an audit. These include:

  • False or Inaccurate Information on Your Application
               We all make mistakes. One time to be completely sure all your information is accurate and
                correct is when filing your IFTA report.

  • Fuel Records
               Information should include date of purchase, location where purchased (name and
               address), number of gallons purchased, and what type of fuel was purchased.

  • Mileage Records
              Taxable and nontaxable fuel use should be listed here including distance traveled
              with each type, and the distance traveled in each jurisdiction.

Perhaps the most important thing to note here is to keep accurate records. Which brings us to our final point.

Assuming you do all the right things and still your number gets called, then what? Well, first: breathe. If you’ve kept good, accurate records, you should have nothing to worry about.

Fuel Tax Blocked

Hello there, Trucking Nation! Last week, we told you about measures to increase fuel taxes throughout the country. One effort, proposed by two U.S. Senators, would have raised fuel taxes at the federal level. The Senators wanted to phase in 4 cent tax hikes every year for 4 years and then have yearly increases adjusted for inflation after that.

Fuel Tax Hike Proposal Blocked from Vote

U.S. Congressman Earl Blumenauer introduced legislation in the House of Representatives to raise the national fuel tax 15 cents per gallon. Fortunately, the proposal, which was an amendment to a pending national highway bill, was blocked from coming to the House floor for a vote. This means fuel taxes won’t be going up, at least in the near future.

We don’t have to tell you how important this is to you, Trucking Nation. Increased fuel taxes means more money out of your pockets, and things are tough enough as it is.

Late IFTA Filing

As most of you are aware, October 31 was the 2015 3rd quarter deadline, but since October 31 was a Saturday, the actual deadline for filing your IFTA return ended up being midnight November 2. If you haven’t filed your 3rd quarter return yet, doing so as quickly as possible will help to minimize your penalty interest that started accruing November 3.

What penalties have I incurred since I haven’t filed my IFTA return yet?

The interest is calculated at .4167% of the tax you owe in each jurisdiction, and is figured on a monthly basis. You’ve already incurred a debt of $50 or 10% of any taxes you owe, whichever is greater. If you don’t owe taxes, the penalty is $50. No one wants to pay more than they have to, or run the risk of having IFTA license revoked. So make sure you that you get your return filed as soon as possible.
