IFTA Basics for First Time Filers

Welcome to the wonderful world of IFTA filing. You have probably heard through the grapevine that IFTA filing is...well...difficult with some colorful language added in, but it's really not that bad. In fact, ExpressIFTA has made the process pretty simple and provides you with every state's specific IFTA filing requirements. Let's go over some of the IFTA basics before we get into the filing information.

IFTA Basics
IFTA is the International Fuel Tax Agreement that allows you to travel in all participating member jurisdictions with a single fuel tax license. To operate in two or more member jurisdictions, you are required to have an IFTA license and decals on your vehicle. You receive your IFTA license through your base jurisdiction and you are given decals to put on your truck. Your IFTA license needs to be renewed annually in December. When you hold an IFTA license, you are required to file a quarterly return that calculates how much fuel tax you owe (or are credited) to remain compliant.

IFTA Filing with ExpressIFTA

Know Your IFTA Fuel Tax Before You File
You can know your 1st Quarter IFTA tax before you file with our IFTA Fuel Tax Calculator App. It is free to download on App Store and Google Play. You don't have to enter business information or anything like that, you will simply click on the app to open and start entering your mileage for each state and the fuel purchased. The app will calculate your tax due (or owed) and you can plan for that expense before you even file.

IFTA: What To Know Before You File

The 1st Quarter IFTA Deadline is April 30th. Before you start filing your IFTA return with, there is important information you need to know.

Even If You Didn't Operate During the IFTA Quarter, You Still Need to File an IFTA Return. 
If you didn't run during the 1st Quarter (January-March) you still need to file an IFTA Return to maintain your IFTA license. All you will do is when you are filing your IFTA, you will file a Zero "0" return and not claim any mileage or fuel purchases.

Non-Taxable IFTA Miles
Fuel trip permit miles are not taxable miles in any jurisdiction. You will enter fuel permit miles in the total miles section on the return, but do not include them in the taxable miles for the jurisdiction that issued the permit. Exempted Miles will be shown while you are filing for your IFTA, but it will not be shown in the actual IFTA form that you will submit for your tax purpose.

Toll Miles
Toll miles are taxable miles; toll fees are not fuel taxes. Toll fees are considered as fees in exchange for the opportunity to use a toll road.

Which Taxes Are Covered by IFTA?
IFTA only covers fuel taxes. It does not cover road taxes, weight mileage taxes, or any other jurisdiction specific taxes. You must continue to pay these taxes directly to the jurisdictions in which you travel.

What Fuels Are Covered by IFTA?
Under IFTA, you generally report information on all fuels used to power your qualified motor vehicles. However, reporting requirements for fuel used in each juridiction are based on that specific jurisdiction's laws and may vary.

What You Will Need to File Your IFTA Return

  • Mileage log - However you track your mileage - manual trip sheets, GPS, or electronic trip sheets - you will need your documented mileage to file. 
  • Fuel Receipts - you will need to know how many gallons of fuel were purchased in each state. You will need to separate your mileage and fuel records for each fuel type. 
Don't Wait Until The Last Minute To File
The 1st Quarter IFTA Filing Period opens April 1st. The best thing you can do is knock out your IFTA filing as soon as the filing period opens so you can file on time and avoid costly IFTA filing penalties.

1st Quarter IFTA Filing Starts April 1st

After reading that title did you notice the IFTA filing opens the same day as April Fools? Bet you are thinking of pranks by now, but before you get too focused on your April tomfoolery, let's talk about the IFTA deadline real quick.

ExpressIFTA simplified IFTA filing. Wasn't the easiest task, but someone had to do it, right? You can generate your IFTA return for your base jurisdiction in a few steps. And if you already have your mileage in for January and February, then you will be done in just a few minutes. 

State Jurisdictions
If you are new to IFTA filing, or just have a question about state requirements for IFTA filing, head on over to our IFTA STATES page for information. It's best to have all your questions answered before you get started. 

Importing Mileage
Just because the IFTA deadline isn't until the end of April, doesn't mean you can't go ahead and get started on your IFTA return. You can import your mileage and fuel receipts for the months of January, February, and most of March right now. ExpressIFTA provides a few options to import your mileage: Express Upload, Smart Upload, and Import from GPS.

Express Upload
This option provides you with an ExpressIFTA Excel Template that you can track your mileage in and import whenever you're ready.

Smart Upload
With this option, you can use your own template/format to upload your mileage.

Import from GPS
You can upload your odometer/fuel details from your GPS device output. If you don't see your GPS platform on our list, give the ExpressIFTA Team a call and we can add it (contact details are below).

Manual Entry
If you track your mileage in Excel or some form of template, you can simply enter your mileage. We provide a Trip Sheet option that includes more detail information about your trip, or you can use our Quick Entries option.

In just a few weeks it will be time to file your 1st Quarter IFTA Return. ExpressIFTA has made generating your IFTA return super easy and getting started now will save you a lot of time and effort. Here's how ExpressIFTA can help you get organized for your 1st Quarter IFTA Return...

Getting Organized for 1st Quarter IFTA Filing
If you don't have an ExpressIFTA account, you will need to create one real quick; it only takes a second. Then, grab your mileage information and fuel receipts for January and February. Now once you are logged into your ExpressIFTA account and have all your business and vehicle information entered, you can start entering your miles.

ExpressIFTA does provide a GPS Upload and Bulk Upload feature to make entering your mileage even easier. Our Bulk Upload feature works for both vehicles and miles. If you do not see your GPS platform available, contact the ExpressIFTA Team so we can add it for you.

When you have all your mileage entered for the past few months, ExpressIFTA saves all the information so when you are ready to enter your miles for March, you will pick up right where you left off. Here is an overview of our IFTA Quick Entry process.

Vital Tax Information For Truckers

Tax Season is here and possibly causing you a little stress. Especially when you realize the next IFTA Deadline on April 30th is smack in the middle of tax season. A lot will be going all at once, but I have some very important information for you that will help you out.

First, let's talk tax extensions...

Filing a tax extension will automatically extend your e-filing deadline for certain tax forms. Our partner,, provides three different types of tax extensions:

Form 4868 - Personal Tax Extension due April 15th

How do you file your taxes every year? Do you have someone else do it, or do you do them yourself? Time to plan...
Planning ahead of time will keep you from missing deadlines. Missing a deadline can have very expensive consequences in the form of IRS penalties. You work too hard to see your money going to penalties that are completely avoidable. If you know you need more time to file your business taxes, e-filing Form 7004 will automatically extend your deadline for 5 to 6 months, and you do not need to explain why you need an extension. If you know you need more time to file your personal taxes, e-filing Form 4868 will automatically extend your deadline for 6 months.

2015 IFTA Filing

We are coming to the end of the 1st IFTA Quarter and your first 2015 IFTA Return will be due April 30th. I thought it would be a smart idea to let you know all the IFTA deadlines for the year and the information you will need to file your IFTA return with and some other little tid bits every IFTA license holder should know. So let's get started...

The Due Dates

1st Quarter
You will report your mileage and purchased fuel for the months January - March. The 1st Quarter IFTA return is due April 30th.

2nd Quarter
You will report your mileage and purchased fuel for the months April - June. The 2nd Quarter IFTA return is due July 31st.

3rd Quarter
You will report your mileage and purchased fuel for the months July - September. The 3rd Quarter IFTA return is due October 31st.

4th Quarter
You will report your mileage and purchased fuel for the months October - December. The the Quarter IFTA return is due January 31, 2016.

What You Need To E-file with ExpressIFTA

Your Business/Truck Information
You will need to create an account with ExpressIFTA. It is completely free to create an account and you only need your basic business information and truck information.

Your Mileage
If you write down your mileage, make sure you have your log book with you when you get ready to file. You will easily be able to enter your mileage and states. If you use a GPS platform, like Fleetmatics, you can upload your miles directly from your daily report. If you don't see your GPS platform listed, just give us a call and we can add it.

Your Fuel Receipts
You will need to enter the amount of fuel purchased in each state. Be sure to save your fuel receipts incase you are audited.
